The Turkish Dutch Business Platform (“TDBP” or “Platform”) respects your privacy and is committed to protecting your personal data. This Privacy Notice will inform you on how we collect, process and share your personal data and inform you about your rights.
  1. Important Information and Who We Are
Scope This Privacy Notice applies to all natural persons including directors, representatives of TDBP members, and all natural person participants.Collection of Data This Privacy Notice aims to give you information on how TDBP collects and processes any data you may provide directly to us, either through your use of this website or any other medium, when you register for and participate in an event or other initiatives or when you sign up to our newsletter as a natural person participant of TDBP (“Participant”) or as the director or representative of a company or a branch of a TDBP member or as the director or representative of a company or a branch you become the official representative of a TDBP member (“Representative”). As the processing of your data listed in this Privacy Notice takes place in many different business processes, it is quite possible that you will not always be personally affected by such processing.While we primarily collect personal data directly from you, in limited cases, we may receive personal data from member organizations or representatives in connection with membership and participation.If you provide us with personal data of third parties, you confirm that you have obtained the necessary authorization to share such data with TDBP and that the individuals concerned have been informed of this Privacy Notice, where applicable by law.Controller TDBP is the data controller and responsible for your personal data. If you have any questions about this Privacy Notice, please contact us using the details set out below in Section 8.
  1. The Data We Collect About You
We may collect, use, store and transfer different kinds of personal data about you which we have grouped together follows:
  • Identity Data: in particular title, full name, and where required by law (e.g. for directors of TDBP members) identification data such as passport or national identification details, date and place of birth, gender, profession related data such as job title and company name, and similar data.
  • Contact Data in particular, work or personal email address and phone numbers and similar data.
  • Financial Data in particular, billing address, invoice details, payment references and similar data.
  • Technical Data in particular, internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website.
  • Usage Data in particular, information about how you use our website.
  1. How We Use Your Personal Data
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data with the following legal bases:
  • Where we need to perform a contract we are about to enter or have entered with you.
  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
  • Where we need to comply with a legal obligation.
  • Where you have provided us your consent.
We will use your personal data for the processing purposes mentioned below:
  • Management of TDBP memberships including new member application processes as well as the referral process, renewal or resignation processes, including the processing of personal data of the Representatives of the TDBP member in compliance with applicable legal and statutory obligations relating to member representatives and directors, and maintaining necessary member and representative registries.
  • Conducting necessary communication with the Representative of the TDBP members either as a statutory communication in relation to the activities of the Platform or to inform the Representative of activities and events.
  • Management of contact data provided voluntarily by data subjects for TDBP communications on future events and initiatives.
  • Management of newsletter subscriptions including the registration, storing of such contact information and execution of newsletters.
  • Conducting external communication with Participants, subscribers of newsletters or other external stakeholders through different mediums including but not limited to phone or e-mail communications, to promote activities or events, to inform stakeholders of announcements, or to invite natural persons to TDBP events.
  • Management of registration and attendance of online or physical events including the transfer of such data to third party suppliers such as the venue or the event platforms.
  • Financial administration of membership or participant fees, or the participation fee of certain TDBP events, including the invoicing and accounting obligations.
  • Organizing and conducting online or physical events, official meetings, roundtables, or any other related initiatives including taking photos and videos and publishing such material on TDBP social media platforms i.e. LinkedIn, Instagram, YouTube, etc.,
  • Conducting engagement surveys, satisfaction surveys, other feedback, recommendations, suggestions.
  • Statistical and analytical evaluations in relation to membership, participation rate to events, activities or other initiatives, newsletters and all external communication with stakeholders, etc.
  • Compliance, investigations, and legal proceedings including ensuring compliance with contractual and legal obligations, investigation, and prosecution of violations of law, internal regulations and other misconduct, including examination of complaints, reports and objections, participation in official investigations and proceedings, the assertion, exercise or defense of legal claims of any kind.
  1. Our Third-Party Service Providers and Cross-Border Transfers
We may share personal data with carefully selected third-party service providers (suppliers) who support our activities, such as IT hosting, cloud services and email communication, event management, customer relationship management, and financial administration services such as accounting. Personal data may also be shared with banks and payment service providers for the processing of membership fees, event payments, and other financial transactions. In addition, personal data may be disclosed to public authorities, courts, notaries, regulators, competent authorities or legal advisors where required by law or necessary to establish, exercise, or defend legal claims.We protect your personal data through contractual agreements we have with our service providers. If your personal data is disclosed to a recipient outside of the EU or EEA, the protection of your personal data is ensured with the legally prescribed precautions such as the conclusion of contractual agreement Standard Contractual Clauses (SCCs) and appropriate technical and organizational measures.
  1. Our IT Infrastructure and Data Security
Our IT infrastructure is provided through cloud services operated by Hostinger, where personal data is hosted in Germany and protected by appropriate technical and organizational measures.We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed. In addition, we limit access to your personal data to those who work for TDBP, contractors and other third parties who have a business need-to-know.
  1. Retention Period of Your Data 
We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, including legal, statutory, and contractual obligations. Retention periods vary depending on the type of data and processing activity; once the applicable retention period expires, your personal data will be securely deleted or anonymized.

You have the following rights regarding the processing of your personal data under the GDPR:
    • Right to Information: You have the right to receive transparent information about how we process your personal data, free of charge.

    • Right to Data Portability: You have the right to receive personal data you provided to us in a structured, commonly used, and machine-readable format and to transmit it to another controller.
  • Right to Object: You may object at any time to the processing of your personal data based on your situation, unless we demonstrate compelling legitimate grounds.
  • Withdrawal of Consent: Where processing is based on consent, you may withdraw your consent at any time.
  • Right to Lodge a Complaint: You have the right to lodge a complaint with a competent supervisory authority.
